Admissions, fees, exams and parent apps — a practical checklist to compare vendors without getting lost in feature lists.

Every school we meet has the same story: three offices, five spreadsheets and a WhatsApp group doing the job of a system. Choosing software is the moment to fix that — but only if you compare vendors on what actually matters.

Start with your daily pain

List the three tasks that consume the most staff hours each week. For most schools that is fee collection, attendance and result processing. Judge every vendor first on those.

The seven questions

  • Can parents pay online with local wallets and cards, and is the payment reconciled automatically?
  • Does attendance reach parents in real time by SMS or app?
  • Can it follow your grading rules — GPA, CGPA, custom weightage — without a developer?
  • Is there a parent app, and is it included in the price?
  • Who migrates your data, and how long does it take?
  • Where is the data hosted, and how often is it backed up?
  • What does support look like after the first month?

Ask for a demo with your data

A demo with sample data hides gaps. Send the vendor one class list and one fee structure and ask them to show it working. You will learn more in thirty minutes than from any brochure.
